Add Billable Time And/or Hardware to Tickets
Table of Contents
In Syncro, any Ticket Line Item associated with a labor type (which has an associated rate) is what becomes billable to a Customer.
This document describes two ways you can add billable time to a Ticket: one is manual, via the Ticket's COMMUNICATION's section. The second allows you to automatically populate time entries in a ticket for invoicing using a Ticket Timer.
Use the Ticket's COMMUNICATION's Section
To manually add time when submitting an update or adding a comment to a Ticket, follow these steps:
- Select the Tickets tab, and in the table that displays, click the ticket number to open the ticket.
- Scroll to the COMMUNICATIONS section and complete any fields.
- At the bottom, select the Labor type from the dropdown menu, then enter the minutes spent.
- Click the Charge Now box to check it. This converts any timed labor entries to charges, which then can be invoiced:
Note: Anything in the Products and Services table with a category of “Labor” will appear in the COMMUNICATION section's dropdown menu. To see the list of Labor Types, navigate to the Products and Services tab and select “Labor” from the Filter by Category dropdown.
- Click the button in the bottom right to submit the communication (or use the dropdown menu to submit it and change the ticket status).
Use a Timer to Capture Billable Time for a Ticket
You may also decide to set a timer when working on a Ticket.
- Select the Tickets tab, and in the table that displays, click the ticket number to open the ticket.
- Scroll to the Labor Log section. Your section may not show any entries.
- Use the Rate dropdown to select the Labor Type, and optionally add a Note.
Note: Anything in the Products and Services table with a category of “Labor” will appear in the Rate's dropdown menu. To see the list of Labor Types, navigate to Products and Services.
- Click the Play icon to start the Ticket Timer. An active timer displays in dark gray.
- When you're finished, click the Stop icon. A line item appears in the Labor Log table.
About the Ticket Timer
When no timers are active, the timer shows in light gray. The timer shows the sum of the individual rows listed in the table.
If there is already labor logged in the ticket, the timer starts from the total amount of labor already logged. For example, if you previously logged 45 minutes of labor and then start the timer, it starts from 45:00.
Use the Pause icon to pause the timer. A paused timer displays in red. Click the Play icon to resume the timer.
You can kick off a new timer of the same Rate/Labor Type using the Play icon. Or, begin a new timer by changing the value in the Rate dropdown menu.
Click View Log to open the modal Ticket Timer Log window. This allows you to manually edit individual rows. For example, you could revise Notes or change the Rate/Labor Type. You can also add or delete individual entries, or click Charge Time to add the line from the log to the Ticket Line Items.
Add Line Items to a Ticket in Preparation for Invoicing
In Syncro, any Ticket Line Item associated with a labor type (which has an associated rate) is what becomes billable to a Customer. In a ticket's action bar, click Add/View Charges on Ticket to see individual line items for that ticket. (The current total is automatically displayed as part of the button.)
You can also complete the fields in the left side of the Ticket Line Items window and click Add Item to Ticket to add additional billable time, or hardware that you purchased. Each time a line is added, the Estimated Total updates.
Click Close when finished.
Click Make Invoice in the Ticket's action bar to invoice your Customer. (See also Create an Invoice.)
