Bulk Update Customers

When you have several hundred, or even thousands of customers, it can be tedious to edit each Customer and make the same change over and over.
Fortunately, Syncro provides a bulk updating feature so you can quickly update your Customers with fewer steps.
Note: The bulk update feature allows you to take many common actions for selected Customer records. If you do not find the action you want for your bulk update, you may want to make updates using a CSV file instead.
From the Customers Tab/Page
To bulk update Customers, follow these steps:
- Navigate to the Customers tab.
- Check one or more boxes to the left of the Customers you want to update.
Tip: Check the box in the header row to select all Customers. - From the Bulk Actions button menu, select one of the following:
- Edit: Opens a pop-up window where you can change a variety of fields for Customers and/or Contacts related to Communications, Billing, and Sales Tax. Click Update Records to close the window and save your changes.
- Bulk Manage Portal Users: Opens a pop-up window where you can change fields for Customers and/or Contacts related to Portal Users, including enabling/disabling Portal access, changing the permission group, and requiring/not-requiring MFA. Click Update to close the window and save your changes. See Work with Portal Users & Permission Groups for more information.
- Archive: Click Archive Customers in the confirmation dialog. (You can view archived Customers using the Customer Modules > Show Archived option. To unarchive a Customer, click the Customer Name/Business then select Actions > Re-enable.)
- Delete: Displays the Bulk Delete Customers pop-up window. Click Delete Customers in the confirmation dialog. (IMPORTANT: Unlike archiving customers, deletion is permanent.)
Note: Syncro displays the number of Customers you originally selected, but you can also check the box to apply your bulk edit to the full list of Customers that match your filters:
If no filters were selected, checking this box is a quick way to select ALL your customers instead navigating through multiple pages of customers.
Using a CSV File
If you need to perform an update for many customers or update fields the Bulk Actions feature does not allow, you'll want to export the Customers, edit them in a spreadsheet program, then import them back into Syncro.
- Navigate to Reports > Customers - Customer Export.
Note: Syncro immediately downloads small files with a name like customers_dump_12-24-2024. If it's a large file, Syncro navigates you to the File Downloads page with this message at the top: "We are generating the customers export file. Refresh this page in a few minutes." Do that until you see the file, then you can click to download it:
- Edit the file in Excel or a similar spreadsheet program. Be sure not to change the numbers in the id column:
See Customer CSV File Columns Reference for more detailed information. - When finished with your edits, save or export the file in the CSV format.
- Back in Syncro, navigate to Admin > Customers - Customer Import.
- Click Choose File.
- Navigate to the file and double click it, then click Import:
Note: The import can take a while if the file is large. You'll receive an email when the import is complete. You can also check progress under Admin > Reports - Import Results.
Example Situations for Bulk Updating Customers
Customers have been set to “No Email - Of Any Kind”
When Syncro detects a bounced email from the customer, their “No Email - Of Any Kind” box automatically gets checked.
Their name will then show in Admin > Reports > Customers - Opt Outs By Customer. You'll also be notified when you try to email them through Syncro.
This is designed to keep your email from getting blacklisted/flagged as spam. If you have a large number of these in Syncro, you can use the bulk update feature to reset these.
If you want all your customers to receive email, set the cells in the no_email column to False. (If you don't see a no_email column in your exported file, you can add it.)
You want to delete all your Customers' phone numbers.
Replace the phone numbers from the appropriate columns with the text "Delete." (Be sure to leave the phone column header as is.)
Bulk Delete Customers
To bulk delete customers, you can either use the Bulk Actions menu, or disable them in a CSV file. To do the latter, set the Disabled column in the CSV to True for each customer you want to delete.
